We already use GroupMe and a shared spreadsheet. Why switch?

You don’t have to drop them overnight. But GroupMe doesn’t know your schedule, and a spreadsheet doesn’t know who’s on the roster. TeamBasin connects chat, schedule, attendance, and dues so they actually talk to each other, which a pile of separate tabs and apps can’t do.

Who owns our data?

Accepted Answer

Your program does. Every team and league is isolated at the database layer, so nobody outside your program can see it, including other teams on TeamBasin. We don’t sell it and we don’t run ads against it. If you ever leave, you take your data with you.

How long does setup take?

An afternoon. Claim your team or league, invite your people, and load the season. There’s no IT project here.

Question 5

Who’s it for, just officers?

Accepted Answer

No. Everyone on a roster gets an account, and everyone sees a different slice of it. Players check the schedule, mark attendance, and use team chat. Coaches run attendance and the calendar. Officers and owners handle dues, gear, and the roster. Play intramural instead? Join a squad, see your schedule and standings, and chat with your team, no officer required. Commissioners run registration, results, and officiating for their leagues. And a school admin account sits above all of it, overseeing every club team and every intramural league at the school from one place.

Is it really built by people who run club teams?

Yes. It was built by a former club sports and intramural student who lived the exact frustrations this platform solves. That’s why it works the way it does: no ads, no data brokers, real role-based access, and a real understanding of how these programs actually run.

Question 7

How does a school administrator get access, and can they see every team?

Accepted Answer

A platform administrator issues the grant — it is deliberately not self-service, because institution-wide visibility into every club’s roster and finances should take a second person to hand over. Once issued it covers every team at that school, club, outdoor and intramural alike, including teams created later. There is no roster row, so the account never shows up on a team’s roster or counts against its size, and nobody has to re-do anything when a new club forms.

What can a school administrator change, and what can’t they?

They can create teams and manage who is on them, edit the school-wide calendar, define the school’s seasons and its certification requirements, set branding, assign the school’s purchasing cards, and run every intramural league. Attendance, compliance logs, certification records and trip content are deliberately read-only to them — marking attendance stays with each team’s coach, and a trip is approved or declined, never edited. And a team’s own owner holds more than they do: deleting a team and a few other irreversible actions are owner-only on purpose.

Can a school administrator see our finances, and can they change them?

Accepted Answer

They can see budgets, categories and spending for every team at the school. Donor names are not on the school-wide summary, which shows totals only; they are on an individual team’s fundraising page, where your treasurer already sees them, and that read is recorded. They also hold permission to edit finance records, the same as an owner or officer — no screen in the school console currently does it, but the permission is real and we would rather say so. Every change is attributed to the person who made it in a log that cannot be edited.

Do you have SOC 2, or a security review we can hand to procurement?

Accepted Answer

No, and we would rather say so plainly than let you find out three meetings in. There is no SOC 2 report, no ISO 27001 and no third-party penetration test. What we can show you is the mechanism: tenant separation is enforced by the database itself rather than by application code, so a query that forgets its filter returns nothing instead of someone else’s rows; finance changes are written to a log with no update or delete path; and support access to a team is read-only. Whether student-records law applies depends on how your institution adopts a tool like this, and that is a conversation with your legal office rather than a checkbox we can tick for you — ask and we will tell you exactly where it stands.

Does this replace IMLeagues, or our campus rec system?

Probably not, and we would rather be straight about it. TeamBasin has no facility booking, no point of sale, no membership or building access — the things campus rec suites are built around. What it covers is the layer those tend to treat as an afterthought: what happens inside the teams. Roster, dues and a real ledger, gear, waivers, attendance, travel, chat, and a full intramural program. Plenty of schools would run it alongside one of those rather than instead of it.
